Authority Control
 Brodart maintains the latest version of the Library of Congress (LC) Name and Subject Authority files, applying updates immediately upon receipt. These files contain authority records which Brodart processes to create term changes and cross references. Once your MARC database is received, you have the option of receiving LC Name and/or Subject Authority Control.

Our LC Authority Control processing programmatically identifies all name and/or subject headings and compares them to all currently valid headings as well as all previously valid or obsolete headings that reside in the LC authority files. The processing will then change any headings that are recognized as invalid or obsolete to the current, valid headings. The LC term changes will permanently alter the headings in the bibliographic records in your file.

Authority Control Cross-Reference File

Once Authority Control is applied, Brodart can supply the LC Authority records matched to the library's database that would result in cross-references ("see" and "see also") which can be loaded into a local system. By loading these cross-reference records into the authority module of your library's integrated system, the appropriate cross-references will appear in the system's public access catalog. Contact us to determine your system's ability to import this data and specifications for the process.

Audits and Reports
 The following audits and reports are available from Brodart:

Audit List of Terms Change - Reports on records, citing the "old heading" followed by a list of all records changed to the "new heading." Occasionally, more than one new heading may be possible. In these cases, the old heading and all possible new headings are shown, followed by a list of all records with the unchanged old heading. This allows you to choose the correct term and apply it to appropriate records.

As-Used List - Lists all headings with corresponding record control numbers present on your bibliographic files by subject, names and series.

LC Exceptions - Lists all headings with corresponding record control numbers which do not match any LC authority heading. These records are listed by name and subject.

"Listings Only" Option - If actual Authority Control processing is not desired, it may be bypassed just to obtain listings. However, your institution must be profiled for Authority Control in order to receive listings.

Local Authority Control Processing

A library may wish to implement local authority control in conjunction with or in place of Library of Congress Authority Control processing. With local authority control it is possible to establish term changes and cross references for application against your bibliographic file. These local authority records:

Prevent application of undesirable LC term changes or cross references;

Augment application of processing in areas of your collection not covered by LC.

In addition to a database in MARC format, a library provides a file of local authority records. These records are in a separate MARC file with the same MARC tagging structure as LC authority records. The feasibility of using local authority control varies from institution to institution. Union files often require Brodart's coordination and consultation to assure the consistency necessary for authority control in these circumstance. The details of any local authority application can be discussed with Brodart technical staff.
