Vendor Selection

Brodart Vendor Selection is a cooperative endeavor. It involves careful analysis of a library's needs and preferences in order to permit our Collection Development department to select the right books for a specific community.

Preparation & Profiling

Working with a library's professionals, via conference calls or on-site meetings, our team and yours complete a personalized Vendor Selection profile. This profile contains detailed information on such topics as the community to be served, the roles and goals of the library and other detailed information about your selection policies and guidelines. This profile is often updated with new information and changes as experience broadens our understanding of your wishes.

Early in the process, we produce an outline of any project, a "list of selection lists." Where appropriate (for an opening day collection, for instance) a schedule will be set for production, selection and order submission. In many cases (but not always) libraries elect to review selections before an actual order is placed. If so, adequate time is built into the schedule to permit thorough review.

Your Holdings

The use of library-specific holdings is an important part of Brodart's vendor selection process. Existing holdings can be used, as well as other subsets of your library's database. You provide a copy of your database, with both bibliographic and item records. Brodart then compares that file to Brodart's 2.6-million title file. Any titles that match via ISBN or LCCN will receive a source code that represents the Library's existing holdings. This holding code is then shown on selection lists, indicating ownership of that title by you.

Brodart's professional selectors, all of whom have public library experience, consider themselves to be part of your staff and - to the greatest possible extent - select titles as you would, title by title. When new titles are considered, Brodart's selectors pay close attention to those titles already indicated as being owned by the Library. Duplicate copies of these titles will or will not be ordered based upon the specifications given to Brodart.

Feedback

If your library chooses to review the selections before each order is placed, Brodart will monitor its performance by providing a feedback form, along with each list of selections. Your staff may fill out this form and return it to Brodart along with any comments. This feedback process facilitates ongoing improvement in our selections and insures that a miscue doesn't become a major problem.
