Profiles

Brodart's customized, shelf-ready materials are delivered to each library's exacting specifications. These requirements are carefully gathered by customer service representatives and/or an on-site team of catalogers, production and collection development experts. Information is collected into (sometimes) extensive profiles that fully define a library's requirements. It is via these profiles that options are managed within the Brodart system.

Account Setup

Brodart provides straightforward specifications for account setup. The information required covers basic contact information, processing and cataloging options, MARC record options and barcode specifications. In many instances, a sales person or customer service representative will assist you in setting up this profile in as little as 15 minutes.

Collection Development

Brodart's Collection Development services are guided by one or more profiles describing the specific needs of a library. The simplest use of our online tools requires virtually no "setup" process. Fully-defined TIPS and Collection Builder profiles must describe your exact needs in terms of previews or selection lists and, in some cases, involves description of your current holdings.
BIBZ & 1stPick - The minimal information needed includes an administrative contact, username and password choices. Also useful is information about the ILS system a library uses. Additional users must be identified, if desired, and any additional full-text review sources must be selected.
Collection Builder - In a nutshell, a Collection Builder profile describes the characteristics of those books you wish to appear on a list. Identifying factors are coverage areas (broad classifications, Dewey or LC classifications), subject areas, publication dates, age ranges, material types (large print, Spanish, spiral bound, etc.), genres, cultural and geographical designators, price, bindings, popularity, etc.
TIPS - TIPS profiles operate using the designators available in Collection Builder. (You can add specific illustrators and authors to the characteristics you are screening for.) But its use is in monitoring upcoming publications for materials of specific interest. TIPS identifies material of interest by "flagging" items that have been reviewed. So, TIPS is a review-driven subscription service. You can request that a title appear on your list only if it has been reviewed by a certain source or from at least one (or more) sources of criticism.


Cataloging

Brodart bases it descriptive cataloging on the most widely accepted standard, AACR2 Revised and accompanying Library of Congress Rule Interpretations. We adhere to the Library of Congress rules for both MARC format and authority control. Of course, individual libraries deviate from these practices, using local practices and policies. What's more, individual libraries localize other elements of a record. Brodart alters its standards to accommodate these changes as well.

In order to provide high quality records that incorporate local requirements, we profile cataloging needs, library-by-library. These special instructions allow us to either programmatically and/or manually alter standard records to precisely suit a library's requirements. Brodart's Profiles of local practices describe the following:
Cataloging Practices - Edition handling; serial records; subject heading schemes; collection information; multiple collection handling; category discretion; local classification and class numbers; other special cataloging procedures.
Classification Profile - For either Dewey Decimal Classification or Library of Congress, specific instructions for handling all fiction and nonfiction collections as well as Cutter-Sanborn information, geographic distinctions and local policies.
Spine Label and Call Number Formats - Precise specifications.
Authority Control - At the option of each customer.
Other Services - Contents notes when not provided; "unique" Cutter-Sanborn numbers; editing existing records.

Processing

We prepare materials for delivery to libraries in "shelf-ready" form. In fact, we sometimes shelve the materials for customers. Our physical processing is profiled simply or in great detail, depending on the extent of our involvement and the customization of the processing.

Common areas of customized process include:
Bar Code Labels - Type, location (and alternates), orientation/alignment and protection.
Other Labels - Genre, collection, property, etc.
Pockets - Type, location (and alternates).
Jackets - Glued, taped, unattached.
Also - Card Kits, stamping, RFID tags, theft protection, binding, etc.

McNaughton

McNaughton plans are governed by straightfoward profiles. They outline physical processing and cataloging options and the size of your plan. Automatic Bestseller Maintenance parameters can be specified as can payment options.

Financial Profiles

Invoicing - Invoicing options include the order of appearance of titles, separate by purchase order, combined or delayed. Cataloging and processing charges can be on separate invoices, as extension to a book charge or combined with each item or title. Of course, we send invoices and packing slips with shipments or separately.
Packing Slips - One per purchase order or combined.
Management Reports - Cancellation, Confirmation, Fund Reporting and Title Status reports are all available weekly, monthly or on request.

Distribution

Shipping & Delivery - Single or multiple locations per order; shipped daily, weekly, monthly or at the completion of a specific project.
Storage - Available for special projects.
Sorting - Rough sorting, partial call number sorts and exact shelflist order sorts are available.
